Declaring your sample

The Declaration Station

All samples measured during an experiment must be declared and registered at the Declaration Station.

Samples can be declared at any time during the experiment.  The Declaration Station is open 24/7.

The station has a computer and a QR code printer. 

For any technical problems, please contact the HelpDesk (extension 7013, open from 8:00-16:30 Monday to Friday).

There is also a cupboard with sealable plastic bags for multiple samples, or for samples in containers that are too small for the sticker with the QR code.

The Home Screen

When you wake the computer, you should see the screen below:

Registering a New Sample

Click on the left panel, labelled 'New Sample'

You will be directed to the screen below:

Note: It is possible to have multiple individual samples declared with the same QR code.  This is to be used when there are many samples that have very similar stoichiometries.  There are two important conditions to observe when grouping individual samples under the same QR code:

  1. All the individual samples must be put into a single container which has the QR code stuck prominently on the outside
  2. If any of the samples in the batch prove to be too radioactive to be release post-experiment, none of the samples will be released

Enter the relevant information in the corresponding fields.

The field names should be self-explanatory, but there are tool tips active for further help.

Once all the information is entered, click the 'Save and print QR code' button.

    Please be sure to check that all information is correct before saving.

    Saving the QR code

    Clicking on the 'Save and print QR code' will register the sample information and direct you to a summary page.

    Click 'Print QR code' to start printing.

    Only print one QR code per sample or batch of samples. 

    Click on the options to print the QR code.

    You will receive a sticker with the code and some of your sample information, similar to this one:

    Stick the label onto the sample container.

    If the label is too large for your sample container, or you have many samples, you may find plastic bags in the cupboard beside the Declaration Station

    Choose an appropriate bag, stick the label onto the bag, and put your sample(s) into the bag when you are ready to check them out post-experiment.

    Confirmation e-mail

    You and your local contact will receive a confirmation e-mail that you have successfully registered your sample. 

    The e-mail will come from:

         "Sample checking" <ged@ill.fr>

    with subject line:

         Sample <your sample> , Proposal number <your proposal number> : submitted

    The e-mail will read:

    Dear User

    User Name: <your name>,

    Proposal number: <your proposal number>

    Sample: <your sample>

    Sample declared by:  <your name>

    Local Contact: <your local contact>

    Your sample for this experiment has been correctly entered in the ILL radioprotection database.

    This is an automatic notification, please do not reply to this email.
