INTERNSHIP Ref. : PACS_EU_01

The EU Office operates within the Partnership and Communication Service (PACS) as a central resource supporting research projects for the ILL community. The EU Office team is responsible for pre-award activities, which includes supporting proposals, assisting with budgeting, and submitting proposals to funding agencies. Additionally, the EU Office provides award and post-award services to help scientists with technical and financial project management, monitors the economic status of projects, and maintains project records and reports.

The EU Office is developing a strategic plan to define the its direction, objectives, activities, and core functions. This plan demonstrates our commitment to supporting both ILL staff (scientists and engineers) and external researchers (including post-doctoral researchers and mid-career scientists) seeking to join ILL.

This Intern will play a critical role in supporting two critical strategic objectives:

  • SO1 - Increasing awareness of funding opportunities among ILL staff
  • SO2 - Providing educational resources and conducting workshops to enhance proposal development and grant writing skills

The intern, with the support of the EU Office staff, will contribute to various activities over a six-month period. These activities will be divided into the following steps:

  • Step 1: Identifying and addressing ILL's scientist needs (M1-M2). This involves understanding the funding streams that are most suitable for addressing each of the scientist's needs.
  • Step 2: Funding Opportunity Intelligence (M2-M3). Tasks include identifying relevant funding opportunities for which ILL and its projects are eligible, including continuation funding for successful projects. This involves utilizing databases such as the F&T portal, creating technical summary sheets for open funding calls (e.g., Horizon Europe), developing and maintaining a database of submitted proposals, and contributing to the content for internal and external newsletters.
  • Step 3: Shortlisting (M3-M4). This step involves in-depth research into the requirements, restrictions, and timelines (application and disbursement) of each funding opportunity to determine alignment with ILL's work plans and priorities. Additionally, comprehensive research about potential partners and stakeholders is required to understand how the funder usually funds and the beneficiary group/community.
  • Step 4: Planning Action (M1-M6). The intern will be involved in the grant application process, including supporting proposal writing, budget preparation, and record-keeping. They will also develop a schedule for funding applications, preparing supporting documents such as annual audits, ILL and program overviews, organizational charts, certificates, etc. The intern will identify and plan initiatives that will support funding efforts, such as funding opportunity campaigns and events.
  • Step 5: Networking and Event Organization Support (M1-M6). The intern will assist with organizing workshops for ILL staff, support local Research Management Administrator (RMA) networking events, and help coordinate grant information sessions.
